Call to order at 4:00pm by Chairman Englebert
Present:     Chairman Englebert, Trustee Franzoi, Vice Chairman Golz, Trustee Halverson, Ad Hoc Trustee Jill Hermans, Superintendent of Schools VanderHeyden, Secretary Wicihowski and Trustee Witt
Absent:     Teen Representative Glen Genz
Also Present:     Director Lenz, Children’s Services Supervisor Beson and Administrative Assistant Dreyer
     

Public Comment/Communication
Chairman Englebert introduced Jill Hermans, Vice President of Talent at Faith Technologies, who will be an Ad Hoc member of the Board of Trustees.

Consent Business
Motion made by Franzoi, seconded by VanderHeyden, to approve the Library Board meeting minutes from
July 26, 2017.  Motion carried unanimously.

Motion made by Halverson, seconded by Franzoi, to accept the Building & Grounds Committee meeting minutes from August 27, 2017.  Motion carried unanimously.

Authorization of Bills
Motion made by Halverson, seconded by VanderHeyden, to authorize payment of the August 2017 bills as presented from the 2017 budget.  Motion carried unanimously.  

Director’s Report/Information Items

1.    July Statistics.  Total circulation was up 12.7% from July 2016, and checkout of children’s materials rose by 29.6%.  Program attendance was up 13.8%.  Digital materials continue to increase.

2.    Budget Status.  Trustees reviewed the 2017 budget status.  The overtime/doubletime amount includes snow removal by Public Works.  During the first week of August the youth department’s air conditioning frequency drive broke down and Master Electrician Brian Haessly replaced it.  Franzoi suggested color coding/shading the budget items that are determined by other city departments.

3.    Staff Reports.
       ·    Faith Technologies is donating five more WiFi-capable hotspots and five WiFi-capable laptops for the library to circulate to patrons.
       ·    The MJSD school supply list included a recommendation to get a library card.
       ·    On Friday, we are interviewing candidates for the part-time Librarian position.
       ·    Young Adult and Media Library Moore-Nokes will be with the Book Bike at the Menasha High School on Thursday when students pick up their schedules; during school registration, staff registered over 100 students for library cards at Clovis Grove Elementary School.  
       ·    On August 14, staff were invited to an Employee Appreciation Luncheon and Open House at the new Menasha City Center.
       ·    On August 23 and 24 there will be training on diversity and inclusion for all staff.
       ·    The Friends of the Menasha Library Used Book Sale will be held September 7 through September 11.
       ·    There will be a staff in-service on Friday, September 15, from 8:00 - 12:30pm at the Menasha City Center.  We will review patron confidentiality, policies, emergency procedures, customer service, keeping our network safe, and benefit changes, and the mayor will update us on news in the city.  The library will open at 1:00pm.
       ·    The Fox Cities Book Festival authors have been selected.  Our library will host 15 authors.  The Festival will run from October 9 through October 15.
       ·    Summer Reading Program statistics will be available at our next meeting.
       ·    There is no news yet on the 2018 budget.  The city has a new Administrative Services Director; it was suggested that we invite him to a library board meeting.
       ·    A minor has been banned from the library for forging a name on an application and using the new card to check out videos.  
       ·    The city attorney has been asked by police officers and the library director to consider crafting a knife ordinance for city buildings.  A hunting knife and a sword was brought into the library, and that is currently legal.

Discussion/Action Items

4.    Building & Grounds Committee Report. Trustees reviewed the August 27, 2017, meeting minutes listing the immediate and future needs of the library.  Immediate needs include:  
       ·    parking lot repairs, speed bumps, and pedestrian crossing strips
       ·    LED conversions/flag pole lights
       ·    study room and door between Reference Area and Children’s Room
       ·    camera system improvement
Motion made by Franzoi, seconded by Wicihowski, to approve the capital requests as presented.  Motion carried unanimously.   
 
5.    Calumet County Reimbursement for Library Service.  Winnefox Assistant Director Arend and Director Lenz attended a meeting of a newly-formed Calumet County Library Services Advisory Committee charged with addressing our request for an increase to reimbursement for library service.
