March 22, 2017

Called to order at 4:00pm by Chairman Englebert
Present:     Chairman Englebert, Trustee Crawmer, Vice Chairman Golz, Superintendent of Schools VanderHeyden, and Secretary Wicihowski (Winnebago County Representative Franzoi arrived at 4:03pm)
Absent:     Trustee Halverson, and Teen Representative Beachkofski
Also Present:     Director Lenz, Adult Services Supervisor Bongers, and Administrative Assistant Dreyer

Public Comment/Communication:  The library received a $200 donation from a mother whose son recently passed away. She asked that the funds be used to purchase audiobooks since she said they helped prolong his life.  She also said the building project helped provide him with easier access to the children’s department.

Consent Business
Motion made by Golz, seconded by Wicihowski to approve the Library Board meeting minutes from February 22, 2017, and accept the Governance Committee meeting minutes of March 14, 2017.  Motion carried unanimously.

Authorization of Bills
There is an addition to the 2017 Endowment Fund bills – an entry to Lamers Bus Lines to bring students to the library from Clovis, Gegan and Jefferson Elementary schools.  Motion made by Franzoi, seconded by Wicihowski to authorize payment of the December (4) 2016 bills as presented from the 2016 budget and the March 2017 bills as presented from the 2017 budget.  Motion carried unanimously.  

Director’s Report/Information Items
1.    February Statistics. Adult book circulation was up 32.1% from last month and 12.3% over last year.

2.    2016 and 2017 Budget Status.  Trustees reviewed the 2016 and 2017 budget status.

3.    Staff Reports.
       ·    Thanks to Joe Franzoi, Faith Technologies awarded the library a grant for technology for children.
       ·    The Friends held their spring used book sale from March 9-13 with proceeds of $2,987.22.
       ·    National Library Week is April 9-15.  We will sporadically put out treats/coffee for patrons and they can enter to win prizes.  We will also have a Food for Fines drive.
       ·    Fox Cities Reads Author Sharon Draper will make 6 appearances in the Fox Cities April 4-5.
       ·    Beginning in April, the Fox Cities’ public libraries will have a monthly column in the Post Crescent.
       ·    Menasha High School Tech Ed teacher James Eastman is going to design and build, with the help of his students, a book bike so that people can check out materials at the farmer’s market, Boys and Girls Club, Jefferson Pool and other community events.  It should be done by Memorial Day so that it can be part of the Memorial Day Parade.
       ·    Children’s Supervisor Kathy Beson developed an annual report on their Happy Birthday, Baby! Club.
       ·    Those in charge of the summer reading program would like to offer fine forgiveness to children, tweens and teens who sign up.
       ·    A strategic plan update was distributed.
       ·    The Wisconsin Association of Public Libraries Conference will be held April 27-28 at the Holiday Inn in Stevens Point.  

Discussion / Action Items
4.    Board Recruitment.  The Governance Committee met on March 14 and discussed new trustee orientation.  A brochure was developed to use in recruiting.  They also discussed developing a more accurate name and focus for the fundraising committee, cultivating donors, and raising public awareness.

5.    Annual Report to the State.  Motion made by Franzoi, seconded by Golz to approve library’s annual report to Wisconsin’s Department of Public Instruction stating that the library system did provide effective leadership and adequately meet the needs of the library.  Motion carried unanimously.
